This Privacy Notice explains how Juvare (“Juvare,” “we”) collects, discloses, and otherwise processes personal information. This Privacy Notice applies to our website, https://www.juvare.com. and any of our other sites that post this notice (each website a “Site” and collectively, the “Sites”), as well as any of our products, platforms, applications, and/or services (“Services”) displaying this notice.

Juvare provides enterprise resilience solutions that allow our Clients to connect to the critical resources, data, and mutual assistance they need to respond to and manage emergencies. This Privacy Notice is addressed to visitors to our Sites (“Visitors”), individuals working with emergency management agencies, federal agencies, hospitals, and public health departments, as well as other public or private entities who use our Services (“Clients”), and non-Client individuals whose personal data is input into, collected, and/or otherwise processed via our Services by Clients or Juvare (“End-Users”). Visitors, Clients, and End-Users are collectively referred to as “Individuals” in this notice.

This Privacy Notice does not apply to third parties or their services. This Privacy Notice does not apply to information that cannot identify any individual, household, or their devices, such as de-identified or anonymized data. We are not responsible for our Clients’ or other third parties’ privacy practices; individuals should contact those parties directly to learn more about their privacy practices.

Personal Information We Collect

We collect personal information from a variety of sources, including:

Directly from Individuals when they provide it to us.
Automatically as Individuals utilize the Sites.
From third parties, including analytics providers.
From our Clients.

Information directly from Individuals. When Visitors access our Sites, we may collect their name, phone number, mailing address, email address, organization name, and job title when they request a demo or otherwise contact us.

For Clients, we may collect the following information when they sign up for an account and utilize our Services: first and last name, email address, organization name, role in the organization, mailing address, username, account password, content of communications to us, precise geolocation and movement information (when Clients choose to activate certain tracking features in our Services), and other details they provide.

For End-Users, we may collect any data, including personal data, that they choose to provide to our Services directly, including when interacting with our Clients.

Information we collect through automatic data collection technologies. We may collect data regarding use of our Sites and Services through cookies, web beacons, and other automatically collected information. This data may include IP address, date and time of access to our Sites and the pages and content accessed during a visit, websites linked to or from, whether Individuals receive or open an email or other communication from us, and the links they click on within those emails. We may also collect information from mobile devices or computers about how Individuals interact with our Sites and Services, including the date of the visit, the time of arrival and length of visit to the Sites, the type of device used and the operating system on that device, browser type, a list of files downloaded or pages viewed, IP address, and any errors encountered. This information helps us address customer support issues, provide a personalized experience, prevent fraudulent use of our services, and manage the Sites we provide, including gathering aggregated data about engagement.

Information we collect from third party sources. Through our Sites and Services, we may collect information from advertisers, affiliates, promotional partners, and application providers. These and other third parties provide us information in connection with cookies, content, widgets, components, or other tools we use on our Sites. The information third parties collect may be associated with personal information or they may collect information about online activities over time. They and we may use this information to provide interest-based advertising or other targeted content, and for other purposes (such as to better understand our Service’s audience).

Other parties may collect personally identifiable information about online activities over time and across third-party websites when Individuals use our Sites, such as analytics and marketing providers. Whether this is true in every case depends on further facts. We do not respond to “do not track” signals, however, we provide other mechanisms that provide consumers the ability to exercise choice regarding the collection of personally identifiable information about an individual consumer’s online activities over time and across third-party websites or online services via a cookie manager on our Sites. Individuals may opt out of such sales or targeted advertising by opting out of certain third party cookies by emailing [email protected]. Individuals may also modify their browser settings to automatically reject the placement and use of certain cookies.

Information from our Clients. Clients may input information about End-Users into our Services. Given the nature of many of our Services, which facilitate responses to emergencies, critical incidents, and operations, Clients may input, or otherwise make accessible, information such as name, contact information, medical information, screening information, information related to hiring, and/or background check information. This can also include information which our Clients anticipate to be relevant to managing or responding to emergencies, including information relating to bodily or property damage, geolocation information, and treatment, response or claims regarding the same.

How We Use Personal Information

We may use data we collect to operate our business and for a variety of purposes, including the following:

To provide and manage our Sites and Services and their contents. As part of our Services, we may facilitate communications between our Clients and individuals (e.g., in response to an emergency situation). Our Clients, and not us, are responsible for the content, timing, and delivery of these messages.
To set up Client accounts and to permit Clients to participate in features on our Services.
To maintain, analyze, develop, train, customize, and/or improve our products, Sites, and the Services. This may include developing new products, Sites, Services, and functionality.
To maintain, analyze, customize, and/or improve Individuals’ experience on our Site and Services.
To communicate with Individuals and provide information that they request from us.
To complete administrative tasks, such as processing billing and completing payments.
To provide customer and technical support.
To monitor and enforce our contracts, legal terms, acceptable use or other policies or similar terms.
To comply with law and satisfy our regulatory and compliance obligations. Additionally, to support compliance efforts on behalf of others and ourselves that support our provision of services.
To detect and prevent fraud and other prohibited, illicit or illegal activity, and to protect the rights and vital interests of Individuals, others, and ourselves.
To address existing or anticipated disputes.
To otherwise operate our business, including support for transactions impacting our company as a whole (such as mergers, acquisitions, or asset purchases).
To fulfill any other purpose for which Individuals provide information to us.
For other purposes permitted by law, as described when Individuals provide information or to which Individuals consent.

As permitted by law, we may combine the information we gather about Individuals in identifiable form, including information from third parties. We may use this information, for example, to improve and personalize our services, content and advertising.

How We Secure Personal Information

We are committed to maintaining measures to protect the security of personal information. Of course, despite these measures, no network or system is ever entirely secure and we cannot guarantee the security of networks and systems that we operate or that are operated on our behalf.

How We Disclose Personal Information

We may disclose personal information to third parties as reasonable to operate our business, to provide the Services, as permitted or required by law, or as directed or authorized by Individuals. For example:

Affiliated Companies. We may share personal information with our parent companies, subsidiaries, joint ventures, or other companies under common control with us.

Disclosure to Clients. We may disclose or otherwise make available to our Clients personal information in order to provide our Sites and Services. In the use of our Services, Clients may share such personal information with other Clients or with suppliers, partners, affiliates, and other third parties. We do not control the data sharing and processing practices of Clients or these third parties. To find out more about how our Clients process and disclose personal data, please contact relevant Clients and/or consult their privacy notices.

Third Party Sharing. We work with third party parties to help us provide our Site and Services and to support internal operations. In some cases they may use personal information subject to their own privacy policies and to comply with their own legal and regulatory obligations. We work with different types of third parties, presently including third parties listed on the Juvare subprocessor list available here: https://www.juvare.com. /subprocessors/. We may provide certain information to artificial intelligence model providers such as “large language model” providers in connection with our Services. Regarding Visitors to our Sites, we may share their personal information with advertisers and other promotional partners.

Professional Advisors, Law Enforcement and Regulators. We share personal information with our professional advisors who provide legal, compliance, auditing, accounting, banking, consulting, or similar services, and with regulators, law enforcement, or government agencies to:

comply with our legal and regulatory obligations, including those compliance obligations of federal, state or local regulators;
protect our interests, property or legal rights, or those of our Clients or third parties;
respond to a subpoena, court order, or similar law enforcement request, or when we believe in good faith that the disclosure of personal information is necessary to prevent physical harm or financial loss, to report suspected illegal activity, or to investigate violations of this Privacy Notice or other applicable terms; and
for other legal purposes, such as to enforce our Terms and Conditions, or to exercise or defend legal claims.

Corporate Transaction. In the event of a corporate transaction, we may share the personal information of visitors to our Sites, users of our Services (including Clients), and others from whom we have collected information. We may share such information with companies or other entities in connection with, or during the negotiation of, any merger, sale of company stock or assets, financing, acquisition, restructuring, divestiture or dissolution of all or a portion of our business, or other similar event.

Other Disclosures. In addition to the above disclosures, we may disclose personal information in the event that we believe such disclosure is (i) necessary to provide our services or operate our business; (ii) in accordance with purposes we describe when Individuals share it with us; (iii) permitted by law; or (iv) with consent or at Individuals’ direction. We may disclose aggregated or deidentified information that does not identify any individual without restriction.

Product-Specific Collections and Uses

Juvare’s current product offerings as of the date of the last update of this Privacy Notice are listed below, along with a brief product description and certain key, product-specific personal data collections and uses. We also use and share data as directed by our Clients and/or as described below the chart in the “Other Product and Services Collections and Uses” section.

WebEOC Bundle	WebEOC is a cloud-based emergency management and business continuity platform that gives public and private organizations a real-time common operating picture with configurable workflows, situational visibility, and collaboration tools to manage daily operations, incidents, and recovery efforts.	Clients can input any personal data they choose into WebEOC, including personal data related to an emergency, event, or incident. This can include sensitive personal data, such as precise geolocation data, health and medical data, biometrics, criminal background, and other categories of sensitive personal data.
Design Studio/Design Studio Pro	Design Studio is a drag-and-drop board builder for WebEOC that enables organizations to create, manage, and deploy forms. DesignStudio Pro adds form creation capabilities to capture and feed real-time data directly into operations.	As Design Studio products allow Clients to create custom forms, this product contains custom fields Clients choose to create and any personal data End-Users choose to provide on the forms.
Juvare Events Board	Facilitates the management and tracking of event records within emergency operations. Allows users to view, create, update, and delete event records, and provides event summaries.	As Juvare Events Board allows Clients to create and interact with custom events, this product contains any information a Client chooses to associate with an event and any personal data input by either a Client of an End-User.
Investigative Case Management System (ICMS)	ICMS is a SaaS solution providing end-to-end oversight for sensitive, high-consequence investigations. Includes complaint intake, workflows, case tracking, chain-of-custody controls, and reporting.	Clients utilize ICMS to manage cases related to complaints involving certain government agencies. As such, any data associated with a compliant or an investigation or an adjudication/decision regarding the action can be input by Clients or End-Users. Such data is frequently sensitive in nature.
Unified Command Platform (UCP) Bundle	UCP is a FedRAMP High/DoD IL5 authorized command and control platform that gives federal and defense agencies a unified, real-time operating picture with configurable workflows and secure collaboration for managing daily operations and mission-critical events.	Clients can collect, input, and process any personal information they choose via the UCP bundle, including by inputting personal information related to an operation or event. This can include sensitive personal data, such as precise geolocation data, health data, biometrics, criminal background, and other categories of sensitive personal data.
EMResource	EMResource is a real-time healthcare and emergency resource management platform that gives responders and care teams a shared view of capacity, status, and critical data across facilities and regions.	Clients utilize EMResource to collect and process sensitive personal information such as health and medical data, including personal data related to patients and their medical treatment, as well as real-time geolocation information of Client staff.
EMTrack	EMTrack is a secure patient tracking solution that lets healthcare, EMS, and public health teams follow patient movement through routine operations, transfers, evacuations, and mass casualty events.	Clients utilize EMTrack to collect and process sensitive personal data, including health and medical data of patients and precise geolocation data.
eICS	eICS is a web-based incident command system that helps organizations quickly launch and manage structured response plans, assign roles, and log actions in real time.	Clients utilize eICS to collect, input, and process data associated with the management of incidents and/or critical event response plans. This frequently includes assigned roles and responsibilities and records of communications or actions taken by individuals.
CORES RMS	CORES RMS is a responder and volunteer management system that streamlines recruiting, credentialing, deployment, and tracking of personnel before, during, and after emergencies.	Recruiting and hiring functionality in CORES RMS can include personal data relating to human resources management, such as work history, medical and drug screenings, criminal background check data, interview responses, resume, immigration/work status, biometrics such as fingerprints, disability information, and/or accommodations information. Precise geolocation information can also be collected.
CORES HAN	CORES HAN is a high-volume alert and notification service built for health and public health organizations to send targeted, real-time, multi-channel communications.	Clients input, collect, and process personal data via the CORES HAN product related to delivery and content of notifications. This may include inputting and/or using contact information such as telephone numbers, email address, or fax number,]or contents of communications. The product can also include sensitive health and medical data.
Crisis Track	Crisis Track is damage assessment and disaster management software that helps teams quickly collect, organize, and report disaster impacts to support FEMA requirements, speed funding approvals, and keep responders coordinated.	Crisis Track can be used to collect, input, and process any personal information relevant to damage assessments and disaster impact and response. This can include inventories of personal property and values of goods owned by End-Users, precise geolocation and movement information of Clients who choose to activate certain tracking features, medical and health data, and information related to amounts of funding requested and received by particular Clients or End-Users. Precise geolocation data may also be collected and shared.
Juvare ARC Subscription	Juvare ARC is an integrated Awareness, Risk, and Continuity platform that combines AI-driven threat intelligence, geo-linked asset monitoring, multi-channel mass notification, mobile panic alerts, and structured incident management workflows to help organizations identify risk, mobilize individuals, and manage critical events.	ARC can be used to collect, input, and process precise geolocation data, content of communications, contact information such as phone number and email address, any other information related to a critical incident, which could include health or medical information or threat-related information associated with particular individuals.
Juvare Intelligence Bundle	The Juvare Intelligence Suite is an AI-powered analytics and insights tool that lets teams search, summarize, and analyze incident data.	Personal data input, collected, and processed using this product can include any information that a Client has provided to a Juvare product or the Services, or any data an End-User has provided to a Client.
Juvare Exchange	Juvare Exchange is an incident collaboration and management network solution that lets organizations share real-time data, updates, and operational visibility across jurisdictions and partners.	Clients can input, collect, share, and otherwise process any personal data they choose via Juvare Exchange. This could include identifiable content of communications, data related to incident impact on individuals (e.g., treatment, diagnosis, response, or other data including sensitive data) historical posts, and/or records of interactions with other Clients.

If Individuals have questions or concerns regarding how the above products function or are utilized to collect and otherwise process personal data, please direct inquiries to the relevant Juvare Client.

Other Product and Service Collection and Use

Juvare’s products and the Services generally facilitate responses to emergencies, critical incidents, and operations. This inherently involves processing information that may be considered or defined under law as sensitive, including personal information. In addition to the categories of information described in the chart above and in this section, Juvare’s products and Services may contain other personal data related to Clients, End-Users, or other individuals in the context of an emergency, critical incident, or operation.

Juvare may also collect other data which could be identifiable to individuals, including metadata regarding Visitor, Client, or End-User interactions with our Sites, Services, and products, business contact information, business communications data, information regarding historical use, interactions, and/or purchases, and other data as described above in the “Personal Information We Collect” Section.

Juvare may process personal data from Clients, End-Users, and other individuals collected in association with all products above and our Services generally as reasonable to run our business, to develop analytics, to communicate with professional services providers/advisors, to cooperate with government agencies or law enforcement, and/or as permitted or required by law. We may use such personal data in order to develop, train, and improve Juvare products and the Services. We may use such personal data for other purposes described above in the “How We Use Personal Information” and “How We Share Personal Information” sections.

What Choices Do I Have?

Update personal information. Clients may access or update their personal data associated with their Juvare account using the password-protected, administrative area of our Site, or by emailing us at [email protected]. Please note that we may retain personal data and other information in our backup or archival records.

Marketing communications. Individuals may receive marketing communications from Juvare. Individuals may opt out of receiving marketing emails by following the unsubscribe link in each email, or by emailing [email protected]. Please note that Individuals may continue to receive non-marketing emails from us after they opt-out. Please note that we do not control communications from others, including our Clients or those Individuals may choose to interact with via our Services. Individuals should contact them to understand communication choices with them with respect to their communications.

Cookies. Individuals have a number of choices regarding certain cookies. Most web browsers automatically accept cookies, but Individuals may modify their browser setting to notify them of cookie placement or decline cookies. Updates to Our Privacy Notice

We may update this Privacy Notice from time to time in order to provide clarification or notice of changes to our practices. This Additional Notice to the Privacy Notice applies to residents of California whose personal information Juvare processes subject to California law ( “Individuals”). Juvare offers the disclosures below to its Clients, End-Users, and Visitors to its Sites. Capitalized terms used herein have the meaning assigned to them in the main Juvare Privacy Notice.

Collection of Personal Information

We collect personal information as necessary to operate our business, to comply with our legal and regulatory obligations, and to provide our Services. Within the last 12 months, we have collected the following California-specific types of personal information about Visitors, Clients, and End-Users:

Identifiers such as a real name, alias, postal address, unique personal identifier, online identifier, Internet Protocol address, email address, account name, social security number, driver’s license number, passport number, or other similar identifiers.
Personal information categories such as name, signature, Social Security number, physical characteristics or description, address, telephone number, passport number, driver’s license or state identification card number, insurance policy number, education, employment, employment history, bank account number, credit card number, debit card number, or any other financial information, medical information, or health insurance information.

Inferences drawn from other personal information such as a profile reflecting a person’s preferences, characteristics, psychological trends, predispositions, behavior, attitudes, intelligence, abilities, and aptitudes.

Collection of Sensitive Personal Information

We may also collect or process sensitive personal information as necessary to operate our business, to comply with our legal and regulatory obligations, and to provide our Services. We collect and process sensitive personal information to provide services to our Clients, including to help manage a response to an emergency or disaster event. We may collect the following types of sensitive personal information:

Social security, driver’s license, state identification card, or passport number.
Account log-in, in combination with any required security or access code, password, or credentials allowing access to an account.
Precise geolocation.
Racial or ethnic origin, religious or philosophical beliefs, or union membership.
Contents of mail, email, and text messages unless the business is the intended recipient of the communication.
Citizenship or immigration status.
Unique identifying biometric information.
Health, sex life, or sexual orientation information.

How Personal Information Is Collected and Used

We collect personal information directly from the following sources:

Directly from Individuals. For example, when Clients sign up for the Services, when Visitors fill out a website form or send us questions or other communications, or when End-Users provide information to us directly.
Indirectly from Individuals. For example, from observing actions of Individuals on our Sites.
From third parties. For example, from analytics or advertising providers.
From our Clients. For example, when our Clients input information of End-Users into our products and Services, or if a Client provides us information about the employee or representative managing their account.

We may use personal information for the following business purposes:

To provide our Services.
Auditing related to counting ad impressions to unique visitors, verifying positioning and quality of ad impressions, and auditing compliance with standards.
Helping to ensure security and integrity to the extent the use of personal information is reasonably necessary and proportionate for these purposes.
Debugging to identify and repair errors that impair existing intended functionality.
Short-term, transient use, including, but not limited to, non-personalized advertising shown as part of an Individual’s current interaction with us.
Performing services on behalf of our customers, including maintaining or servicing accounts, providing customer service, processing or fulfilling orders and transactions, verifying customer information, processing payments, providing financing, providing analytic services, providing storage, or providing similar services on behalf of the business.
Supporting our advertising and marketing services as permitted by law.

Juvare’s products and the Services generally facilitate responses to emergencies, critical incidents, and operations. This inherently involves processing (including disclosing) personal information that may be considered or defined under law as sensitive. In addition to the California-specific categories of personal data referenced in the chart above, our Clients may choose to input and/or disclose other personal data categories via our products and Services. Sale/Sharing of Personal Information

In the last 12 months, functionality operating on our Sites has disclosed personal information to third parties in connection with operating our online services, including network identifiers and inferences about preferences to third party analytics providers. Such disclosure for analytics and marketing/advertising purposes may constitute a “sale” or “sharing” of personal information under California law. 5) Right to Opt-out of Selling/Sharing. California residents have the right to direct us to not sell their personal information at any time. The right to opt out of ‘sharing’ information is a specific right to prevent the provision of personal information to a third party for the purpose of targeted advertising.

We may not retaliate against Individuals for exercising any of their rights under the California Consumer Privacy Act. This means that we may not deny Individuals services or charge different prices or rates for services or provide a different level or quality of services (or suggest that we will do so), in response to a request made under the California Consumer Privacy Act. However, we may charge different prices or rates, or provide a different level or quality of services, where that difference is reasonably related to the value provided to us by an Individual’s personal information.

California residents may designate an authorized agent to make a request to know, request to correct, or request to delete. An agent may be an individual or a business entity. To designate an authorized agent, Individuals must provide the agent with written permission to submit the request. We may still require Individuals to verify their identity directly (subject to certain exceptions). We may refuse a request if the agent does not provide adequate proof of their authorization.

Our Sites recognize opt-out preference signals that apply to browsers, which can be used to automatically exercise the right to opt-out of sale or sharing of personal data without having to make individualized requests. Our Sites enable opt-outs in a frictionless manner. Notes on Deployment of Colorado Notice

Under Colorado regulations, a privacy notice must be clear and easily accessible. We recommend posting online through a link using the word ‘privacy’ on the homepage. If you maintain a mobile app, a link to the privacy notice should be included in the app’s settings menu.

Colorado law expressly requires a description of the company’s online and offline personal information processing practices.

Companies are required to notify consumers of material changes to a privacy notice. This can also include information which our Clients anticipate to be relevant to managing or responding to emergencies, including information relating to bodily or property damage, geolocation information, and treatment, response or claims regarding the same.

Sensitive Data

We may process “sensitive data” as defined by Colorado law, including information that reveals racial or ethnic origin, religious beliefs, a mental or physical health condition or diagnosis, sex life or sexual orientation, or citizenship or citizenship status, biometric data that may be processed for the purpose of uniquely identifying an individual, and/or personal data from a known child.

In some instances, the provision of certain personal data will be necessary for Juvare to enter into a business relationship with Individuals or to provide our Sites and/or Services. Failure to submit such required data may result in us being unable to deliver our products or services, or may result in in our Sites or Services not functioning as designed/intended.

Legal Basis for Processing

Juvare processes personal data of EU/UK residents only if one of the following lawful bases applies to such processing:

How We Share Information

International Data Transfers

Juvare will maintain Individuals’ personal data in accordance with our data retention schedule. We may retain personal data when required by law, regulation, or professional standards to maintain the data for a longer period of time.

Individual Rights Under EU/UK Law

Under EU and UK law, Individuals have the following rights:

Right of access. Individuals have the right to obtain from us confirmation as to whether or not personal data concerning them is being processed. Where such personal data is being processed, Individuals have the right to obtain access to the personal data and certain other information, including the purposes of processing, the categories of data concerned, and information regarding recipients. Individuals also have the right to be informed of any appropriate safeguards related to transfers of their personal data to third countries.
Right of Rectification. Individuals have the right to obtain from us without undue delay the rectification of inaccurate personal data concerning them. Personal Information Collection and Purposes

Information automatically collected via the Sites and Services, including IP address, date and time of access to our Sites and the pages and content accessed during a visit, websites linked to or from, whether Individuals receive or open an email or other communication from us, and the links they click on within those emails. We may also collect information from mobile devices or computers about how Individuals interact with our Sites and Services, including the date of the visit, the time of arrival and length of visit to the Sites, the type of device used and the operating system on that device, browser type, a list of files downloaded or pages viewed, IP address, and any errors encountered.	To address customer support issues, provide a personalized experience, prevent fraudulent use of our Sites or Services, and manage the Sites and Services, including gathering aggregated data about engagement. Juvare may disclose any personal data it collects or otherwise receives regarding Individuals to any Juvare affiliate or subsidiary in order to operate our business, provide the Sites and Services, comply with law, for other purposes for which Individuals have provided consent or as listed in the “How We disclose Personal Information” section of our main Privacy Notice.

In addition, Juvare may share Individuals’ personal information with third parties, as described in the “How We Disclose Personal Information” section of the main Privacy Notice. Individuals’ personal information may be collected, used, processed, stored, or disclosed outside of their jurisdiction of residence, including outside the Province of Quebec and Canada. As such, Individuals’ personal information may potentially be accessible to law enforcement and national security authorities of another jurisdiction where local laws provide for a different level of protection for personal information. Collection of personal information

Juvare does not mandate the provision of your personal information, the provision of which is voluntary. However, in some cases, if personal information is not provided to us, this may impact our ability to supply our Services to you.

Holding and securing personal information

Juvare holds personal information electronically in databases and systems, including cloud-based storage services. Juvare takes steps it believes to be reasonable in order to secure and protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure.

Juvare keeps personal information for as long as it is required for the purpose for which it was collected, or as otherwise required by applicable laws.

Access to and correction of personal information

In addition, Clients may access or update their personal data associated with their Juvare account using the password-protected, administrative area of our Sites, or by emailing us at [email protected]. .

Juvare may need to verify your identity before responding to an access or correction request. Subject to any applicable exemptions or requirements, we will provide you with access to or correction of their personal information within a reasonable time, and, in general, within 20 working days from receiving the request.

Juvare will not charge you for making an access or correction request. However, in some circumstances, Juvare may charge a reasonable fee to cover the administrative costs of providing you with access to your personal information. Any such fee will not be excessive, and we will notify you of the estimated cost before proceeding. If we decide to deny a request or extend the time limit to respond, we will provide information as to why in writing and explain how you may complain.
